Test Records for Orbis Cascade Alliance:
Bibliographic & Item Records


Permanent test records for consortium use. Every member institution has created several sets of test bibliographic, item and patron records to use during training for Orbis Cascade Alliance Borrowing, and for other consortium purposes. The records have common characteristics so that they are easily identifiable in both the local and central systems, to standardize training, and to allow merging of holdings in specific circumstances. One set of bibliographic and item records is unique to the member institution; three other groups of test records will match and merge in Summit to create shared records.

The records are retained indefinitely, to be available for trouble-shooting problems at individual institutions, training new staff members, and testing new features, software fixes and enhancements.

Staff vs. public display. Generally, the records remain suppressed at both the local and central sites (member catalog and union catalog) except for brief periods during a testing period or special project.

Suppressed records are coded for suppression in the local catalog. Library staff can see the test records by starting at a staff search menu in the union catalog. (Note: code "n" and/or other codes in the local catalog will translate to code "Y" in the union opac, meaning SUPPRESS?-YES).

CREATING THE BIBLIOGRAPHIC RECORDS

Contribution and Display code

When the record is created use the code <n> (or your usual “suppress” code).  The record is un-suppressed temporarily, during training and testing, by changing the code to <-> or whatever you regularly use as the “regular” code for Contribute and Display.

A. Unique records

A set of unique test records from the member institution. Add the records manually; do not attempt to download a record from another source such as OCLC. Do not include an 001 field. You may choose to "generate" additional bibliographic records using the first one as the pattern instead of keying each one entirely as new.  List of unique test records for individual institutions.

ITEM RECORDS

Copies

1.       Requestable items in same bib: Onto one bib. record, attach at least two item records, for cop.1 and cop.2.  Both should be requestable (i.e. circulating item type, status code <->).

2.       Onto another bib. record: Attach at least two item records for copies, but make at least one of them non-requestable by one of the following means:

q       1, by IType

q       1, by presence of status code other than <->

q       1, checked out

3.        Requestable items: Attach item records that will be requestable to the other bib. records, too.  Make at least one with an IType code for short loan.

Volumes: Onto one bib. record attach at least three item records for different volumes (numbering pattern at discretion of member library).

Status codes: Be sure there are at least three item records out of all of these with a status code something other than <-> (such as c, f, m).

Barcode: Include a barcode on most of the records, but leave at least two requestable items without a barcode field so we can demonstrate how to deal with the situation.

Checkout: Check out at least two of the items to a new Summit test patron, and another should have a hold on it.


B. The flower series

Multiple institutions attached to each bib. record. Members are attached to these records in various combinations, allowing testing among different groups of libraries. Records are merged as a result of using the same 001 and title fields. Each member is assigned several specific records in this series. Examples:

C. The gemstone series

Multiple institutions attached to these records, generally single item. Records are merged as a result of using the same 001 or 020, as shown on the table,              and title fields. Examples:

D. The city series

Multiple institutions attached, in different combinations, each with multiple items. Some titles are monographs with multiple copies; other titles are multi-vol. sets.
