  • This page will take shape over the next few weeks to include various topics related to loading, storing, coding, displaying, and providing e-book access from netLibrary records in INNOPAC systems, especially important for local library systems connected to a central union catalog.

    For example, such issues could include the following:

    1. What kind of status display and links are desirable?
    2. Should we plan for records matching and merging, or allow multiple records? (recommendation: arrange for records to match; duplicate records has been an ongoing concern and we shouldn't knowingly exacerbate it). Implication: source of record, and how local load table handles OCLC numbers (keep or strip "ocm" prefix, etc.)
    3. If local records are acquired and loaded before a consortium approach is adopted, should they be coded for non-contribution, and then identified and sent to Orbis later?
    4. Should the records be coded for standard contribution and display, or use a special III code such as "g" for "Orbis resource"?
    5. Should local records have an item record attached? (pros and cons of display)
    6. How does netLibrary know patron's home institution? Those with multiple patron records?
    7. Circulation

    Cataloging records in a union catalog

    netLibrary is cataloging on III INNOPAC, then supplying the records to both OCLC and to customers. If cataloging records are acquired from netLibrary, there won't be an OCLC number. NetLibrary is assigning new ISBN numbers, which may work for matching (not yet known); also assigning an author (netLibrary Inc. or netLibrary Incorporated).

  • SOURCE OF CATALOG RECORDS

    Catalog records can be acquired from OCLC or directly from netLibrary.
    1. OCLC. Obtaining records from OCLC. netLibrary sends a list of purchased titles to OCLC. From that, OCLC builds a collection set and makes the set of records available to the libraries. We have asked for information on the reliability and success of using the ISBN numbers to accurately build the record set [i.e. all the right records, and no unwanted records]. We know that OhioLINK has arranged to use this method for providing records to its members.

    2. netLibrary. Obtaining records from netLibrary

      • COST

        netLibrary charges $1 each for the first set of records; for subsequent sets of the same file of records, the price is .25 each. This does not include charges to add the library's holdings to OCLC. netLibrary is willing to negotiate a consortial price for the records (for example, purchasing the records for all 38 NANC participants, or for the 14 Orbis members).

      • GETTING THE RECORDS

        netLibrary stages a file of records on an FTP server, and provides e-mail notice and instructions to libraries on how to pick up the records. After the initial file, netLibrary will make available the catalog records for subsequent sets of titles when that project, or set, is complete. Not yet determined is the frequency and notice for Choice Outstanding Academic Books cataloging records.

      • CATALOGING RECORD CODING AND CONTENT

        In a nutshell, netLibrary adapts an existing catalog record to create a record appropriate for the ebook. netLibrary submits the records to OCLC. Records purchased directly from netLibrary will not have an OCLC record number. Until now, netLibrary appears to have been adding a 710, a 256 field (Computer file characteristics) and substituting an appropriate 776 (Additional physical form) for the 300 (Physical description) field -- in addition to adding the 856 field (Electronic location and access, or "link"). See sample above. Responding to national level cataloging policy, netLibrary plans to retain the 300 field and add a 533 (Reproduction note), 655, and 776 as well as the 856. There is also an 001 field for which we have asked clarification. Example:

        netLibrary plans to replace all existing cataloging records with the new format.

    LOADING CATALOG RECORDS

    Regardless of the source of cataloging records, libraries should take steps individually and in concert with union catalog partners (e.g. Orbis) to be certain that all fields will load correctly and that special fixed field codes that "flag" or identify the record are used when desirable. We recommend being prepared to take necessary steps -- but waiting until we have complete information from all vendors (and for Orbis, until the Orbis Catalog Committee has reviewed the information and options).
    Sept. 15 update Setting OCLC holdings

    Is it important, or critical, to set holdings in OCLC? (i.e., for the OCLC record to indicate that the library owns the title). Records purchased from netLibrary, or through a special collective purchase from OCLC, will not automatically have holdings set. Adding holdings to OCLC will incur an additional charge and perhaps require an additional procedure. We will report on cost and details as we know more.

    Using the INNOPAC for obtaining netLibrary records

    Using III for acquiring and cataloging netLibrary records.

    Catalog records can be loaded directly from an INNOPAC system using a facility that III has developed especially for netLibrary records. Very similar to a standard acquisitions approach, the system is designed to assist libraries in reviewing netLibrary titles, then ordering and cataloging them. Requirements to use this INNOPAC-based facility: WebOPAC and FTS (File Transfer Software); Acquisitions module, if using it for ordering.
    • LOAD. Allow library to pick up a file of records staged at netLibrary.

      • Library can select (or identify) the appropriate file at netLibrary.
      • System will create a new load table for the library (no additional cost for profiling, etc.), with standard attributes:
      • System will automatically create an order record with pre-set fixed field(s)
      • System will set bib MAT TYP to a new type assigned by III: @
      • System will prompt library to select a template. Library would use an existing template -- i.e. set of defaults -- or create a new one for netLibrary records.

    • REVIEW. System will create a Boolean review file. Using the file, the library can review the materials, decide which to order, and delete the records not wanted.

    • CATALOG. Using the Boolean review file, the library can update fixed fields and make any other changes necessary.

    • ACCESS. With the new MAT TYPE code developed by III, libraries will be able to pre-limit a search to retrieve only netLibrary records -- without purchasing a scope -- and to display a graphic (e.g. the netLibrary logo) on browse and individual record screens. Patrons will be able to Preview and Checkout materials directly from the INNOPAC.

    We are talking with III about the special needs of NANC libraries (where titles have already been acquired) and of libraries that are part of INN-Reach systems. For example, we are exploring the possibility of automatically creating item records instead of order records, adding the 856 to the item record (to prepare for institution-level holdings in the union catalog), and appropriate fixed field and other defaults.

    Individual libraries and INN-Reach groups will likely also want to consider
